Procedures

Follow these steps when a customer has a non-traditional home address or is unable to receive mail at their residence because they have an invalid address or a non-traditional home address:

1) Updating Non-Traditional Addresses or No Valid Mailing Address for ALTCS Applications

Enter the ZIP Code closest to where the customer lives.

Select the link to use a General Delivery address as the Home/mailing address.

The “Check the Address” pop-up window will display “General Delivery.” HEAplus will display one of the following in the “You entered” section of the pop-up window:

  • The City and ZIP Code entered for the customer’s home address.

  • The ZIP Code entered for the customer’s home address when the customer has indicated they are homeless, or living in a shelter (homeless, domestic violence) or institution (group living arrangement, drug, or alcohol treatment center).

Select one of the following options:

  • Use the address we found” - When the “Continue” button is clicked, HEAplus removes the pop-up from view and updates the address fields with the address found. When more than one General Delivery location is found,  select a location.

  • Re-enter your address” - When the “Continue” button is clicked, HEAplus removes the pop-up from view, and deletes the address entered. Re-enter the address, and the USPS address validation service will run again to check the address.

Add a case note explaining the directions to the customer's home, including landmarks, etc.

Continue the application process.

 

2) Updating Non-Traditional Addresses or No Valid Mailing Address for Acute Applications

The procedure below is for customers that have non-traditional addresses, for example, clients who live in rural areas or on tribal lands.

Enter the ZIP Code closest to where the customer lives

Type ”See Mailing” in the Home address field 1

Select “No” for Home and Mailing Address the same

Enter the address description in the Mailing Address field 1

The “Check the Address” pop-up window will display “No Match Found.” 

  • Choose “Use the address you entered” and click “Continue”.

Click “ok” on the "Address Not Found” pop-up window.

You will be taken back to the Home and Mailing address screen, click next

Follow steps 6 through 8 for the mailing address. Then choose next when taken back to the Home and Mailing  screen again.

Document the non-traditional address to where the client lives in Case Notes.

Continue the application process.
